Advance Your Career: Client Support to Clinic Coordinator (12-Month Fast-Track)

Most administrative roles offer a desk and a static to-do list. This role offers a definitive, structured runway to a senior coordination role. We are seeking a highly committed, detail-oriented professional to join our practice initially as a Client Support team member. You will work directly under our current Clinic Coordinator to learn the ropes, with a structured 12-month development plan to take over the Coordinator role by early to mid 2027 (subject to successfully achieving all core performance competencies). What We're Looking For

  • You are a natural people person who is also highly organised and driven by innovation and efficiency.
  • You are willing and ready to commit to a minimum of 24 months in the role.
  • You bring a minimum of one year of administration experience, ideally within a medical or allied health setting.
  • You possess excellent verbal and written communication skills with a very high level of attention to detail.
  • You have a high level of computer literacy and are genuinely open to learning new software.
Your 12-Month Trajectory

Phase 1: Immediate Impact (Client Support - Working under current Clinic Coordinator)

  • Act as a dedicated people person—warm, friendly, and genuinely enjoying engaging with others.
  • Manage appointments, handle enquiries, and ensure our clients have a positive and seamless experience.
  • Provide essential administrative support to our passionate team of psychologists.
    Efficiently respond to client communications across calls, emails, texts, and live chat messages.
  • Bring a drive for innovation by learning our systems and looking for ways we can improve our daily workflow.
  • Work 3-4 days part-time to start, with the room to transition to full-time hours (if desired) as you grow into the Clinic Coordinator role.

Phase 2: Transition to Clinic Coordinator (By Early to Mid 2027, Performance-Based)

  • Coordinate the day-to-day running of the Scope clinic to ensure consistently smooth client experiences.
  • Assist with the coordination of practitioner calendars, including the allocation of assessment resources and clinic rooms.
  • Provide comprehensive initial and ongoing training and mentorship to client support team members.
  • Proactively problem-solve operational issues and drive continuous improvement by suggesting process and customer service enhancements.
  • Ensure the clinic premises are consistently maintained as a clean, safe, and inviting environment.
